“You’re appreciated.” It’s a statement that’s always in style and makes employees feel like they’re not just cogs in a wheel. Why, then, don’t more companies show appreciation for employees more often?

In many cases, leaders just don’t realize that organizations with formal appreciation initiatives experience nearly one-third less employee attrition than those that don’t. And even after they find out, they’re not necessarily sure when or how to demonstrate their gratitude.

Can you relate? Here’s good news: There’s no secret formula to recognizing your workers. You can send notes at any time, such as for your employee’s birthday or after a tough job’s been done right. The touchpoint is what matters — not the specific timing.

Why do these touchpoints matter so much? They show that the company has noticed an employee’s contributions and that the employee is valued. And a little bit of encouragement and positivity can go a long way.

When to Acknowledge Employees

There are plenty of occasions when managers should be celebrating their employees and praising their contributions. At a bare minimum, managers should at least acknowledge employees’ birthdays and work anniversaries. However, there are also a few instances when an employee’s performance really deserves recognition:

· When an employee performed a job well done.

· When an employee kept a project on course and on time.

· When an employee influenced the business’s goals.

Other times, it might be appropriate to provide more of a morale booster to employees. This might include occasions such as:

· When the employee goes above and beyond their scope of work.

· Thanking an employee for continuous contributions.

· When the employee is overwhelmed and/or needs encouragement.

· When an employee has a positive attitude and lifts up the people around them.

Creating Messages That Matter—and Have Personal Meaning

Of course, even if you’re bent on appreciating your staff, you might not be able to find the right words. Everyone’s had the experience of staring at a blank card and wondering what to write. Let us help! Below are some tips for putting your kudos on paper:

1. Lean toward ‘short and to the point.’

A heartfelt, honest message doesn’t have to be long for it to have an impact. Just make sure that it’s relevant. In the words of sales expert Zig Ziglar, “You never know when a moment and a few sincere words can have an impact on a life.” In other words, don’t try to impress. A few well-chosen words make the most meaningful messages. Just explain why you’re sending your note by highlighting the recipient’s accomplishments. For instance, perhaps one of your employees turned an unhappy client into a raving one. That’s a great excuse to offer a genuine compliment!

2. Personalize every card with handwritten messages.

What makes a sincere appreciation card memorable? Personalization. Rather than giving each card a cookie-cutter approach, put your own twists into each one. Some of the best cards are made for different sending occasions, but managers can add their own editorial elements to make everything fit for the sending occasion. And even though tailoring employee appreciation cards takes time, it’s worth the investment. Recipients are more apt to display unique cards at work and at home. That means your company might get a nice branding boost — all for doing the right thing.

3. Be consistent with your recognition.

According to Harvard Business Review, organizations that recognize their workers could “increase intrinsic motivation, performance, and retention rates.” In turn, these employees often experience less stress and improve their productivity levels. And guess what? Those happy workers can also pass their bliss onto customers. Research from Aon Hewitt indicates a significant link between engaged employees and happy buyers.

Hi ,

Your biggest fan,

If you need more inspiration surrounding words of acknowledgment and encouragement, here are a few other lines to consider:
